Real Estate Administrative Assistant

Represent the company in a professional manner at all the times; attendance and reliability is imperative

Essential Job Function
  • Put together client files for submission to Administrative Office
(All completed files go to Veronica Todd for review)
  • Please adhere to the leasing department check list
  • Greet all customers, Hi, and welcome to Veronica Todd Realty, how may I help you.
  • Hi this is _____________ from Veronica Todd Realty, you called inquiring about a place to rent, how may I help you
  • Demonstrate strong oral and written communication skills.
  • Operate multiline phone system, Apple Computer Microsoft Office including Word, excel, scanner and coping machine
  • Neat, clean, professional at all times throughout the workday and/or whenever representing the company
  • Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.
  • Call and set up appointments for customers to come into the office to be processed
  • Have prospect complete application and process paper work in accordance with the company procedures
  • Update availability report (housing available), process applications for approvals. (Rental history, etc.) Submit processed applications for approval. Follow up with applicant regarding status.
  • Learn and ensure compliance with all company rules/ Please be very careful not to cross the line of what kind of information you are giving the clients, agents or brokers.
  • Remember you are not agents; Administrative to the Broker and Manager of the Leasing Department
 
 
  • Client credentials must be submitted in a folder with their first and last name.

  • Leasing Department Manager is authorized to access emergency situation and address them as deem fit, if I am unable to be reached in emergency situations.
 
  • Leasing Department Manager have permission to write up insubornate employees
 
  • Leasing Department Manager can call and check to see if a property is available, and set showing appointments
 
  • Leasing Department Manager have full access to Real comp
 
  • Leasing Department Manager is responsible for overseeing the office when Principal Broker, is unavailable. 
 
  • All issues concerning real estate questions, deals with other agents or brokers and giving information to clients about real estate property is prohibited for all unlicensed managers and employees of Veronica Todd Realty.
